Arrive with a question for each meeting
An open-ended search for innovation often produces a large collection of interesting materials and few decisions. Before the event, identify the development questions you need to answer. Perhaps you need an alternate source, a new delivery approach, or a manufacturing partner for a particular format. Give each meeting one primary objective and send the relevant brief in advance when possible.
Use a consistent capture sheet
Record the material or capability, proposed application, evidence available, minimum quantities, lead times, commercial assumptions, and the next technical contact. Separate statements you verified from claims that require follow-up. A photo of a booth and a business card are not enough to reconstruct a useful conversation weeks later. A consistent record also makes different suppliers easier to compare.
Qualify samples before testing
Label samples with source, date, version, and the intended evaluation. Ask what the sample represents: a standard material, a custom prototype, or a demonstration not yet ready for routine supply. Decide who will review the documentation before the sample enters development work. This helps avoid investing time in an attractive material that does not match the project’s requirements.
Schedule the decision meeting before you travel
Reserve time shortly after the show to rank opportunities and assign follow-up. For each promising lead, choose a specific next action: request documentation, commission a prototype, schedule a technical review, or pause. Set a date for the decision. The value of the event comes from converting conversations into a managed development pipeline, not from maximizing the number of meetings attended.
